• Report from Chair Val Barker
B.C. Golf will be creating a new website template for Zone 3. Hope to have this up and running in the next few months. The plan is to make this “user friendly” and managed by our Zone. Currently we have be relying on Sherry Work Zone 4 to upload our information.
It was suggested at the executive meeting to create a Facebook page, that would allow for greater communication between members and clubs. This would be a private “group” that only members of Zone 3 would be allowed access. I will consult with Zone 4 Chair to see if they want to make this a joint group.
The Fall Classic tournament was cancelled due to low attendance. A survey has been sent out to captains; we are looking for your feedback on how to plan for next years tournaments. We currently distribute almost $2,000 in prizes; this could be reduced to lower the entry fees. The raffle prizes are revenue neutral.
The AM/SEN tournament held in May was challenging as we had 15 withdrawals the week before the event. This required bringing players off the wait list to fill the spots. The handicap limit is 18.3 and only 60 players. We pay for 60, so we try to fill the spaces. We now have a refund policy that will be on the registration. It was suggested to make the payment required at registration. This will be explored with BC Golf.
A motion was made by Darlene Friesen for a refund policy:
No refunds after draw is posted.
This was seconded by Daiane McFarlane and it was carried.
Registration for tournaments will have a separate line for your name and your “preferred name” This will assist confirmation of payments. Also if you are paying for more than yourself, add these names in the message box of the e-transfer.
Introducing Chris Harris as the new vice-chair.
Carol Murphie has withdrawn from her role of secretary.
Lynda Grant has completed her term as treasurer.
Chris Harris has stepped up and agreed to do both roles.

Income statement attached. There are outstanding levies not paid by some clubs. This is $5.00 per member of your club. Levies help defray the cost of running the Zone. A member is only required to pay this at their primary club. Please make sure your email is correct when submitting to the zone.

Only a couple games had to be rescheduled. Appreciated getting the scores to me in a timely manner. Just a reminder that the “home” team should send in the match results.
Sherry Work will be doing the scheduling for next year.

My sincere thank you to all 2nd and 3rd Team Captains for their cooperation in submitting Team rosters, Handicaps and Results in a timely manner. Please know that I have heard your concerns regarding being matched with the same team two years in a row. Building a schedule that provides balance is a challenge and always the objective, however given the number of clubs participating and the mandate for each club to play 4 games, it is impossible to avoid some duplications.

On May 6 Jane Lim of Hazelmere’s 2nd Team shot a hole-in-one during a match with Golden Eagle
On Aug 6 Jane Hull of Golden Eagle’s 3rd Team shot a hole-in-one during a match with Carnoustie.
Both were given pins to mark the occasion.
• Report from Chris Thurlow Rules Chair
As submitted at the executive meeting
A Rules Clinic was held at Pitt Meadows with 50 women attending. Zone subsidized $5 for coffee and muffins. Well received, feedback was very positive.
Was on course for AM/SEN at Hazelmere and Shaughnessy, as well as Greenacres for Best Ball.
She is resigning her position to take a more active role within her own club.
Was suggested by Lynda-Lee Saunier to try and recruit Janet Fitzsimmons from Poppy. She offered to contact her and Chris will send an email as well.
• Report from Rosalie May BC Golf Rep
This report is from the executive meeting. Funding guidelines have been sent out by BC Golf (attached) outlining what each zone is Entitled to for the year. We have qualified for monies that we missed making application for. Suggestion was to be diligent about who is playing so we can apply for funding. It was further suggested that the Junior girls notify the Zone chairs of their activities and what events they are playing. Zone also qualifies for $50 for Seniors entering provincial tournaments. The Zone has to apply for funding. Currently Zone 3 is owed $1500. Rosalie does not get information about who is playing in tournaments.
Suggest a meeting with Zone chairs and the Junior girls’s reps to discuss their funding and activities planned for the upcoming year. Rosalie would like to be part of this meeting. They had a healthy year doing 6 events.
• Report from Holly Horwood Zone 3/4 Coordinator
Report attached
Working to secure events for next year. Clubs are treating the Zone as a corporate event; therefore, price is prohibitive. Tournaments are not money makers.
Tournaments need to be promoted at the club level.
Vacant Positions
We now have a Vice-Chair; Chris Harris and she has kindly offered to take on the role of Treasurer as well. The Secretary position is vacant. If anyone would like to step in to this role, please contact me and I will send you the job description.
Member Survey
A questionnaire was sent out to the Club Captains to survey members on what they wanted in a tournament. Lynda-Lee Saunier will be collecting the results and will be discussed with Zone chairs.
Women’s’ Programs
Beat the Champ, Dorothy Olive Franklin and Pin rounds are not well funded. A lot of clubs are not participating. The feedback from clubs is the Pin rounds are difficult to fit in rosters. The winners are not known. It was suggested that if clubs don’t want to field players, they just contribute the monies to the Zone.
Role of the Zone
The Zone works in partnership with BC Golf and provides the running and supervision of championships-Amateur/Senior/
The Zone provides a source of reference regarding Rules, Handicaps, Course Rating, Teams and Junior Development.
Team play for all levels is also done by Zone Volunteers.
BC Golf does not have the staff to handle all your questions separately. They will direct you back to the Zone Committee.
The Zone provides two meetings per year Spring and Fall to bring together the club captains to provide leadership, and an opportunity to network together to share resources and ideas.
Your Zone 3 Treasurer is also where you may purchase Pins and Ball Markers that recognize achievements. Break 100, 90, 80, & 70 Ball markers.
All clubs within Zone 3 Fraser Valley are eligible to become full voting members upon payment of annual membership fees (which we call the levies). Once paid to the Zone you are entitled to all the programs and resources provided by BC Golf.

Chris Harris offered that the value of the Zone is not correctly communicated to the Clubs. One of the roles is to promote golf, especially Junior golf.
Junior Golf Funding
Brenda and I will be meeting with the Junior girls reps to discuss next years budgets and funding. Rosalie May will be included in this meeting.
